How to adjust & transfer stock in the Stockroom app

The Stockroom app lets your team adjust stock and transfer products between locations without leaving the warehouse floor. Each job starts from a workflow your admin sets up, so your team picks the workflow, scans the products, and inFlow records the change.

Read below to learn how to adjust stock, scan products that track serial numbers, lots, and expiry dates, use a Smart Scanner device, and transfer stock between locations.

How to adjust stock in the Stockroom app

Every stock adjustment starts from a workflow — a preset your admin builds that decides what the adjustment does and which fields your team fills in.

  1. Open the Stockroom app on the shared or personal device.
  2. Tap your name on the Who is scanning screen. If your admin turned on PIN sign-in, enter your PIN.
  3. Pick a workflow. If your team only has one workflow, the app opens it for you.
  4. Scan the product’s barcode or QR code, then tap Scan out/Scan in. Tap the quantity to change the number manually.
  5. Fill in any fields the workflow asks for, such as Remarks or Reason. Your admin decides which fields show and which are required.
  6. Tap Done after adding every product, then tap Finish to apply the changes. You’ll see Adjustment completed to confirm, with Keep scanning to start another one.

What Happened to Stockroom Scans?

Before September 15, 2026, accounts using Stockroom could only scan products in and out. These actions were called Stockroom scans.  

We have updated the Stockroom app to change these scans into a stock adjustment workflow. Now, each scan will be grouped with existing stock adjustments in both inFlow Stockroom and inFlow Inventory/Manufacturing with the Stockroom Add-on. This update keeps all inventory adjustments in one location.

How to transfer stock between locations

A stock transfer workflow moves products from one location to another. Your admin decides which locations the workflow uses and whether your team can pick them.

  1. Open the Stockroom app and tap your name on the Who is scanning screen. If your admin turned on PIN sign-in, enter your PIN.
  2. On the What would you like to do? screen, tap the transfer workflow. It shows the name and short description your admin gave it.
  3. Check the FROM and TO locations on the sheet that opens. If the workflow lets your team choose, search for a location or pick one from the list, then tap Next.
  4. Tap Start scanning.
  5. Line up the product’s barcode or QR code in the camera. The app shows the product name and number — tap Scan to add one, and tap it again for each extra unit. Tap Done when you’ve added every product.
  6. Fill in any fields the workflow asks for, such as Remarks, then tap Finish.
  7. Transfer completed confirms the move and counts the products and quantity. Tap Keep scanning to start another transfer.

If a barcode isn’t in your inFlow products, the app tells you it isn’t in your system and adds nothing. Ask your inFlow administrator to add the product, then scan it again.

A transfer has no Scan out or Scan in — the direction comes from the workflow’s From and To locations. It also completes in one step, skipping the In transit stage you’d see on a transfer created in inFlow for Web.

Adjusting/transferring stock with an inFlow Smartphone Scanner

If your team uses an inFlow Smartphone Scanner, press the scan button instead of lining up the camera. Each scan adds the product straight to your list, and the list stays on screen beside the scanner so you can watch it build.

The scan button is the trigger when the device has the hand grip attached, and the side buttons when it doesn’t.

Scanning the same barcode again adds to the line you already have rather than starting a second one, so counting a shelf of the same product is one continuous run.

Everything after that matches the camera flow: the same workflow fields, the same quantity editing, and the same Done and Finish screens.

Adjusting/transferring stock for serial numbers, lots, and expiry dates

Products that track serial numbers or lot numbers utilize a GS1 Digital Link QR code for scanning. This feature is available only in inFlow Inventory and inFlow Manufacturing with the Stockroom add-on. It is not available with a standalone Stockroom plan.
