So you’ve got multiple licenses under your web account and need to control which user uses which edition? Not a problem! Let’s begin by ensuring that you’re logged in to the “Default User” (or if you’ve re-named it, the user that has administrator rights). If you’re currently logged in as another user, you can change to the default user by going to the Main Menu > General > Change User.
Once you’re logged in to the appropriate user go to the Main Menu > Options > Settings > Users. Create your users here by clicking on “Add”. For each user, just below the password confirmation fields there’s a field called “Target Edition”. You’ll have three options:
- Highest Available: This means that if there’s a Premium license available, this user will always get the Premium edition first. If there isn’t one available (either due to not having a Premium license or someone else already using it) it will go to the next level which is Regular.
- Regular or Free: This means that this user will use only the Regular or the Free edition (depending on which is available), even though there’s a Premium edition available for use.
- Free Only: Users with this setting are restricted to the Free edition only (read-only mode).
This access is on a first-come-first-serve basis. For example, if you have 2 Premium licenses and have 4 computers running inFlow, if all of them are set to Target Edition: Highest Available, the first two computers to log in to inFlow will use up the 2 Premium edition licenses. The other two will have to settle for Free edition until one of the first two closes inFlow!
With the information above you should be able to set up accordingly. Below, we’ve outlined a scenario showing the different settings assigned to different roles in a sample company.
- Accounting Department = Free Only
- Technician = Highest Available
- Sales Rep 1/Sales Rep 2 = Regular or Free
- Admin = Highest Available
- Server = Free only
With this example setting:
- the accounting department has read-only access to generate reports for accounting numbers
- the “server” login is used for the server/main computer so it doesn’t accidentally use up a license that would be needed for other users. You can also avoid this by just closing inFlow on the server computer.
- the Technician would have the Highest Available so that he/she can use the work orders to build parts (which is a premium only feature).
- the Sales Reps need access to the Regular edition to do sales orders, so they are set to Regular/Free.
- the admin/default user cannot be changed and is always set to Highest Available.
