5 reasons not to make invoices in Word

Posted by Siobhan Hitchmough

Next time you need to invoice a customer, the quickest thing to do might be to open up Microsoft Word, find an invoice template, and fill it out. But by investing a bit more time into setting up some business software for invoicing once, you get the following 5 benefits as free side effects forever:

1. Save copies automatically – Instead of printing and filing extra copies of your invoices every time, have them automatically saved for you.

2. Quickly search old invoices – Is a customer calling and asking about an invoice? Instead of fumbling through papers to find it – search electronically by customer, date, or invoice number and find it right away.

3. Track payments – Track payment status right with the invoice instead of keeping separate books.

4. Get reports on sales history – How much money did you make last month? How did your sales in April compare to March? Get these answers right away, without tedious calculations.

5. Automatically track inventory – If you sell products, why enter your invoices in Word and then update your inventory somewhere else? Have it all done for you in one package.

What can you use to get all these benefits? Two common choices are the Quickbooks Accounting Software and Microsoft Office Accounting. Or we designed inFlow Inventory to be a better choice for both non-accountants and people who stock and sell products. You can download the Free Edition right now, which allows you to send out unlimited invoices for free!

Do you know an entrepreneur who might want to improve their invoicing habits?

  7. Dear gentlemen:

I wish I could give you more info regarding your product, but I have not completely finished filling the products that I want to be recorded in these program.
I manufacture candles, and so far I am not quite sure as to how to set up ypur program, either by raw materials or by finished product.
So I am at a little bit of a loss here, and unfortunately I have no one to help me in this regard.

The format itself I find not too hard to understand, but I am wondering as I said before as to how to input the data that I require, Customers and the rest are easy, but the rest I really need a little advice.

I hope that you can help me in setting up and using your product, maybe with an example from a similar user.

Thank you for any kind of advice you can give me.

    Francisco Yarza.

  8. Hi Francisco,

Thank you for your interest in our software. inFlow doesn’t support deducting raw materials for finished products yet, but we’re working on this new feature called bill-of-materials (BOM) which helps keep track of both the finished product and the materials that it is composed of.

Currently, what you can do is create new items in inFlow for both your finished product and each raw material. You can then sell the finished product to your customers and have it show as one item on their invoices, and use the Adjust Stock feature to update your inventory, deducting the raw materials that are used to create the finished products.

  9. I am initially impressed with your application. I own a logistics company that provides Supply Chain Management functions (procuring, consolidating, shipping & delivering) to construction companies overseas.

Two questions: First, is the multi-currency able to be mixed within the data base (i.e. some products listed in Yen while others in Dollars)? And second, is there (or will there be) the ability to track shipments (Truck or Ocean Bills of Lading) to show products that have been ordered from a supplier but not in the warehouse yet?

If those two items are avaialable I am VERY interested in the full version.

    Kind Regards,
    Mike

  10. Hi Mike,

Unfortunately, support for multiple-currency is not available and is currently on our wish-list. For your second question, you can enter in the tracking information in the Remarks field of the Purchase Order, but not filling in the info in the Receive tab yet.

    Hope this helps. Thanks,
    -Louis
