There are many new and innovative ways to use the custom documents feature in inFlow and here are just a few of the many things you now have the power and flexibility to do!

Multiple Languages: how to translate your invoice
This is a much less complicated endeavour than it seems as you will be translating your template rather than needing to have the program translate at the time of export.  Since the numbers will be remaining the same you can translate all the static text in your document and simply name it in such a way that you remember which invoice is which.  For instance, if you have customers who require an invoice in English and others who would prefer their invoice in Spanish you can create a custom document for the Spanish invoice (since in this example your display language will be English).  Once you’ve saved your template you can import your custom document as “Invoice – Espanol” for instance.

Loyal Customers: would you like to give out coupons?
Do you want to keep your customers apprised of events at your store?  Or maybe you want to be able to run a promotion and give your customers a coupon with their receipt that will give them 10% off on their next order.  Well you can do all of that using Custom Documents!  Once you have your coupon available you can insert it into your template and then save (special note: a document including graphics must be saved in the .doc format to work correctly with the inFlow custom docs function).  Once you’ve imported the file into inFlow you will be able to select it when completing a sales order.

Thermal Printers
Do you have a thermal printer for receipts but haven’t been able to use it to print you inFlow invoices?  Well now with custom documents you will be able to set up a template for your thermal receipts!  Check out the sales tips here for an example of a traditional sales receipt that you can alter to match your own printer.  Remember when you’re creating your receipts that they must match your thermal printer proportions so it is best to start by resizing your template to match your receipt paper’s width.

Customer Groups: would you like to be able to group your customers into sub-groups?
Well now you can!  Using the custom fields in inFlow you can actually assign your customers to a “customer group” based on whatever criteria you like.  Then, when you’re pulling reports you’ll be able to sort your customers by customer group or industry etc.  Custom fields can be created via the Main Menu > Settings > General Settings, “Custom Fields” section.  For more detailed information please click here: http://www.inflowinventory.com/KnowledgeBase/questions/7/Custom+Fields

Custom fields and custom documents
Can now be combined!  InFlow now supports exporting custom fields and thus can include those custom fields in your documents.  For instance, if you invoices in your country have to capture an aspect of the sale which is not standard to inFlow’s invoices you can create a custom field which will allow you to capture that data and a custom template which will allow you to slot that information into the correct location on your template.
