How many inFlow licenses do I need to buy for my organization?

Each license enables you to operate inFlow Inventory Regular/Premium Edition on one computer.  If you have one person who uses two different computers (e.g. a desktop computer and a laptop), you may choose to activate inFlow on both computers using the same license key. However, only one computer can be connected to inFlow at any given time.

inFlow can let you work simultaneously with your colleagues, updating the same data from different computers using multi-user mode.  In this case, you will generally need to purchase one license per computer that would be running inFlow (either Regular or Premium Edition).  Each license of inFlow can only be in use (with inFlow running) on one computer at a time, but as mentioned above you can install it on up to two.

In multi-user mode you can include a maximum of 5 regular edition licenses (computers running their own unique regular edition license) on your network.  Any additional licenses on the network would need to be Premium edition.  The premium edition does not have this limitation.  You can also mix and match different editions, so you could have 1 server running the free edition and 5 client computers running on Regular Edition licenses, plus an unlimited number more client computers running Premium Edition licenses. 

While all the computers in your configuration would have access to the same data, they will still be governed by the restrictions of their edition so it is important to keep this in mind when determining which licenses you will require.  In addition, if there is someone in your organization who needs to see this information but is not making changes, the Free edition (in multi-user mode) is read-only and can be used to allow them access.  As with Premium edition there is no limit to the number of Free edition licenses on your network.

You can transfer your inFlow license from one computer to another without purchasing a new one.  Uninstall inFlow from the old machine and then install it an activate your license on the new computer.  Contact us if you have any problems with the license activation.

If you're still unsure, read through the examples below to get a little more familiar with our licensing structure:

Example 1:
I am the only one in my company that will be using inFlow.  I have a desktop computer  where I'll use inFlow most of the time, but I also want to sometimes use a laptop from another floor of our office.

In this case, you will only need 1 license (of Regular or Premium).  You can activate the same license on both the desktop and laptop computer and use them in multi-user mode with the desktop as the server.  If you want to use inFlow on the laptop, close inFlow on the desktop and load inFlow on the laptop.

Example 2:
I have three people who will be working regularly with inFlow on their own computers.  One person's computer will be set up as the server.

In this case, you will need to purchase 3 licenses; one for each computer.  These can either be Regular or Premium Edition.

Example 3:
I have three main people who will be working regularly with inFlow on their own computers.  One person's computer will be set up as the server.  I also want to allow two other people in the office to be able to look up the inventory.

In this case, you will need to purchase 3 licenses; one for each main person's computer.  These can either be Regular or Premium Edition.  The other two people can use inFlow Free Edition and look up the inventory that way.

Example 4:
I have 3 workstations set up in different locations in my building where many different people can use inFlow whenever they need it.  I also have a separate computer acting as the inFlow multi-user mode server - nobody will be working on the server directly.

In this case, you will need 3 licenses (of Regular or Premium); one for each workstation.  The server will not need an inFlow license.

Example 5:
I have five people working with inFlow, all on their own computers.  They will be connected in multi-user mode to a dedicated server computer.  Nobody will be using inFlow on this server.

In this case, you will need 5 licenses (of Regular or Premium); one for each computer.  The server will not need a license - it can have only the Free Edition while allowing the other computers to have the full Regular or Standard Edition functionality.

Example 6:
I have twenty people who will be working with inFlow, all on their own computers.  They will be connected in multi-user mode to a dedicated server computer.  Nobody will be using inFlow on this server.

In this case, you will need a total of twenty licenses.  Since only 5 licenses of the Regular Edition can work together, you could purchase e.g. 20 licenses of the Premium Edition or 15 licenses of the Premium Edition and 5 licenses of the Regular Edition, but not 20 licenses of the Regular Edition.
